Frequently asked questions
Your business name and contact details; the client's details; a unique invoice number and date; an itemised list of products or services with quantities and prices; the subtotal, tax (VAT/GST/sales tax), and total due; payment terms and accepted methods; and a due date. Getting these details right helps keep invoices clear and can speed up payment.
The Word invoice is layout-first — clean and quick for simple, fixed bills. The Excel invoice calculates totals automatically: line totals, subtotal, and tax update as you type. If you send more than a few invoices a month, log them in the Invoices Tracker — issue dates, due dates, and paid/unpaid status in a single sheet.
A pre-sale quote or estimate sent before the final bill — same structure, clearly marked "proforma," so the client can approve the amount before issuing the final invoice.
Download a template, replace the placeholders with your business and client details, add your logo and line items, then export it to PDF before sending.
